Moving a Septic Pumping Business Off Paper Tickets
Paper tickets have carried a lot of pumping companies a long way. They are cheap, they work without a signal and everybody knows how to use them. They also get lost, get wet, cannot be searched and do nothing to remind a customer their tank is due. If you are ready to move off paper, here is how to do it without disrupting the trucks.
Start With What You Want to See
The weekly reports in Reports Every Septic Pumping Owner Should Read Weekly are a good picture of what you will gain. Before entering anything, decide what you want out of the switch: fewer lost tickets, faster invoices, pump-cycle reminders, better records for the crew. That keeps the setup focused on what matters.
You do not need to digitize twenty years of tickets on day one. Start with what drives the business going forward.
Pick one person to own the switch. Usually that is the office manager or the owner. They do not have to do all the work, but somebody needs to make decisions about how things get set up and keep the project moving when the trucks get busy.
Set Up Customers and Properties
Begin with your active customers and their properties. For each one, enter what you know: tank size in gallons, lid depth in inches, drain field size and tank location notes. If the information is uncertain, note that rather than guessing.
Prioritize customers you expect to see soon. Old tickets for customers who have not called in a decade can wait.
As your crews service each property, they will confirm and improve the record. Within a season or two, the records will be better than the paper ever was.
Look for quick wins in your old paper. Tickets that note a lid location or a tank size are worth entering for active customers even if the rest of the ticket is not. Those details are exactly what saves time on the next visit.
Set Up Trucks, Categories and Recurring Jobs
Add your trucks so jobs can be assigned to them. Use the job categories — Pump-Outs, Inspections, Repairs, Installs, Grease Traps, Drain Fields — so the board is readable from the start. For customers with known pump cycles and grease trap accounts, create recurring jobs so the reminders start working right away.
Grease trap accounts are a good place to start with recurring jobs, because their schedules are usually already regular.
Getting Crews on the App
Drivers are often the most skeptical. Show them what is in it for them: they see the tank details and notes before they arrive, they do not fill out a paper ticket, and they stop getting calls from the office asking where they are. Keep the routine simple at first: open the stop, read the notes, take photos, mark complete.
Run paper and the app side by side for a short time if it helps, then retire the paper.
Pick a quieter week to roll out the app if you can, and have the first day's routes be ones your crews know well. Familiar stops let drivers focus on learning the app instead of finding properties. Ask them what is confusing at the end of the day and fix it quickly.
Billing and Payments
Once jobs are flowing through the system, invoices can come straight from completed jobs. Ask regular customers and commercial accounts about card on file. The office will notice the difference in a few weeks when they are not sorting tickets on Friday.
Estimates with online approval replace the paper quote left on the door.
Set up your automated messages early, too. Reminders, on-the-way and completed messages are one of the first things customers will notice, and they help make the switch feel like an improvement from the customer's side as well.
Try It Before You Commit
SepticBossPro has a 14-day free trial with no credit card required. Plans are $59, $89 and $199 per month, never billed per user. That is enough time to set up a handful of customers, run a few days of jobs through the crew app and see whether it fits how you work.
See everything the platform covers on the septic pumping software page.
The best time to switch is before the next busy stretch, not in the middle of it.
