Moving Off Paper Tickets: Switching Your Septic Billing to Software

Plenty of good septic companies still run on carbon tickets, a wall calendar, and a spreadsheet. It works — until a ticket goes missing, the person who knows the system is out sick, or the company grows past what one person can keep in their head. Switching billing to software is not hard, but it goes better with a plan. If you have read through this series to Septic Pump-Out Invoice Template: What Every Invoice Should Include, you already know what a good invoice looks like; this article is about getting your whole operation there.

Start With the Price Book

Before importing anyone, set up your price book: standard pumping, additional gallons, disposal, digging, risers, filters, repairs, emergency fees, inspections. Give each a clear name, price, and tax treatment. This is the foundation every invoice is built from, so it is worth an afternoon of careful work.

If you have never written your prices down, this exercise alone is valuable. Many owners discover inconsistencies they did not know existed.

Bring Over Customers and Properties

Next, get your active customers in, with their properties. Start with the essentials: name, contact details, service address. Add tank size, lid depth, and drain field details wherever you have them. SepticBossPro customer and property records hold those details, so this is also your chance to get the knowledge out of filing cabinets and drivers' memories.

Do not try to make it perfect on day one. Records will fill in naturally as each property is serviced.

Prioritize customers by how soon you expect to see them. Commercial accounts and recurring maintenance customers come first, then anyone due for pumping this season. Customers you have not heard from in years can be added the next time they call.

Set Up Payments Before the First Invoice

Connect Stripe so you can take cards on file and online payments from the first invoice. Decide which customers you will invoice per visit and which will get monthly rolled-up invoices. Turn on payment reminders. Having payments ready from day one means the switch immediately speeds up your cash flow instead of just changing where the paperwork lives.

Start asking for cards on file with every new booking from the first day.

Train the Drivers on Close-Outs

The crew mobile app replaces the paper ticket, so drivers need to know how to close out a job: mark it complete, record gallons and notes, flag repair needs. Keep the first training short and focused on that. Explain why: the close-out is the invoice. Because SepticBossPro is never billed per user, every driver can have their own login from the start.

Expect a week or two of reminders. After that, most drivers find the app easier than carrying a ticket book.

Have the office watch the first couple of weeks of close-outs closely and give drivers quick feedback. A missing gallon count or a forgotten note on a buried lid is easy to correct when it is pointed out the same day. Left alone, the habit sets in, and the office ends up chasing drivers for details in exactly the way the new system was supposed to prevent.

Pick a Cutover Date

Choose a clean date. Jobs before it are billed the old way; jobs after it are scheduled, completed, and invoiced in the new system. Running both systems side by side for months creates confusion about which record is right. A short overlap, if any, for jobs already in progress is plenty.

Tell your bookkeeper the date too. QuickBooks export takes over from the cutover onward, giving them a clear line.

What to Expect in the First Month

The first month will have small bumps: a driver forgets to close out a job, a customer asks about the new invoice format, a price needs adjusting. That is normal. By the end of the month, most septic offices find that invoices go out faster, fewer jobs go unbilled, and more customers pay online or by card on file.
