Importing Your Existing Septic Customer List from a Spreadsheet
The hardest part of switching software is not learning the new system. It is getting years of customers out of the old one. The good news is that most septic companies already have their list in some form a spreadsheet can read. This guide follows Building a Septic Service History That Follows the Property and walks through getting that list into SepticBossPro with a CSV import, cleanly and without losing anything important.
Start with What You Have
Your customer list probably lives in one of a few places: a spreadsheet someone started years ago, an accounting program, an older field service app or a stack of paper tickets. Anything that can export to CSV is a candidate. Even if your list is on paper, typing names, phones and addresses into a spreadsheet is faster than entering them one at a time in any system.
Before you export, decide what you actually need. At a minimum, you want the customer name, phone, email and the service address. Anything beyond that — tank size, lid depth, last pump date — is valuable but optional for the import itself. Do not let missing detail stop you from moving the basics.
Clean the Columns Before You Import
Messy data imports messy. Spend an hour cleaning the spreadsheet first. Split full names into first and last if the import expects that. Put street, city, state and zip in separate columns. Make sure phone numbers are in a consistent format and that every row is one customer, not a customer and a note squeezed into the same cell.
Look for obvious junk: test rows, blank rows, customers marked as moved or deceased years ago. You can always import inactive customers later if you want them, but starting with a clean, active list makes the first weeks in the new system far less confusing.
Deal with Duplicates Up Front
Long-running septic lists almost always contain duplicates. The same homeowner entered twice with different spellings, a husband and wife as separate customers, a landlord listed once per rental. Duplicates cause real problems later: reminders sent twice, history split across two records, a crew showing up for work that was already done.
Sort the spreadsheet by address and by phone number and look for matches. Where one person owns several properties, keep one client and plan to attach multiple properties to them, which SepticBossPro supports. Fixing duplicates in the spreadsheet is far easier than merging records after import.
Run the Import and Check the Results
With a clean file, run the CSV customer import in SepticBossPro and map your columns to the right fields. Then check the results before you trust them. Open a handful of records from different parts of the list — the first row, the last row, a few in the middle — and confirm names, addresses and phone numbers landed where they should.
If something went wrong, it is usually a column mapping issue or a formatting quirk in the source file. Fix the file and import again rather than patching records by hand. A careful second import beats a hundred manual corrections.
One more check: make sure the import did not create separate properties for the same address because of small spelling differences like St versus Street. A quick search for a few common street names will show whether anything doubled up. Catching it now takes minutes; catching it after reminders go out takes an apology.
Fill In the Septic Details Over Time
After the import, your customers and properties exist, but most will not yet have tank size, lid depth, location notes or drain field notes. That is fine. Have drivers fill those fields in on each visit and use the crew app to add photos. Within one full pump cycle, every active property will have a complete record.
If you do have last-pump dates from your old system, use them to set recurring jobs for the next visit. That is the quickest way to make an imported list start producing work instead of sitting in a database.
Start Using the List Right Away
The moment the list is in, it is useful. You can text customers, send reminders, take calls with the right record in front of you and book work from the dispatch board. Tags can mark customers by service area, system type or how they found you, which makes the list easier to work.
Importing is the first step toward everything else covered in the SepticBossPro customer records software, and the 14-day free trial is enough time to get your list in and see it working.
Your customer list is the business you have already built. Getting it into a system that can remind, record and schedule is the fastest way to make it pay you again.
