Moving Your Grease Trap Business Off Spreadsheets and Paper Logs

Plenty of grease trap companies run on a spreadsheet of accounts, a wall calendar, paper service tickets and a lot of memory. It works until it does not: a key person is out sick, a stack of tickets goes missing, or an account slips past due because the row was never updated. Picking up from Grease Trap Service for Schools, Hospitals, and Institutional Kitchens, this article lays out how to move to software without disrupting your routes.

Start With Your Customer List

Your spreadsheet already has the most important data: who your customers are, where their traps are, and how often you service them. Clean it up first. Make sure every row has a customer name, a service address, a contact, and the interval. Decide which rows are really the same customer with several locations, because in SepticBossPro those become one customer with multiple properties.

This cleanup step is tedious, but it is where most of the value comes from. Duplicate and messy records cause most of the confusion in any system.

Expect to find surprises during cleanup: accounts nobody has serviced in a long time, customers listed twice under slightly different names, intervals that do not match what you actually do. Resolve each one as you go instead of copying the confusion into the new system.

Load Properties, Notes and Recurring Jobs

For each location, add the property with the address and notes: unit type and size, lid locations, access instructions, after-hours contacts and anything else the drivers carry in their heads. Getting that tribal knowledge into the property notes is one of the biggest wins of the whole move, because it stops depending on one person.

If your drivers carry notebooks with their own notes on each stop, ask them to go through them with the office. Those notebooks often hold the best information in the company, and they are one lost truck cab away from disappearing.

Add a recurring job for each trap based on its current interval. Use the date of the last service so the next one lands at the right time. Once this is done, the schedule starts building itself instead of being rebuilt every month from the spreadsheet.

Double-check a sample of recurring jobs against your records before trusting them fully. Catching a wrong interval now is much easier than after a missed service.

Run Both Systems Briefly

For the first few weeks, keep the old spreadsheet available as a reference while you schedule in the software. Check that the stops coming due in the software match what you expect. When you are confident everything is there, retire the spreadsheet so there is only one source of truth. Running two systems for long is how data drifts apart.

Pick a quiet week to switch if you can. The slow season or the week after a holiday gives you room to fix small problems without a full schedule pressing on you.

Move Drivers to the Mobile App

Paper tickets are where photos and notes get lost. Move drivers to the crew mobile app, where they see their stops, read property notes, take photos, add notes and mark jobs complete. Walk each driver through it on a real route. Most pick it up in a shift or two.

Expect a few rough nights. A driver forgets to take photos or marks a job complete at the wrong stop. Correct it calmly and move on. Within a couple of weeks, the app will be part of the routine.

Switch Billing Last

Once scheduling and field work are running smoothly, move billing. Invoices come straight from completed jobs, monthly roll-up invoices handle commercial accounts, and card on file with auto-billing handles restaurants that prefer it. Switching billing last keeps the transition manageable.

Before switching billing, check that every customer's billing setup is correct: who gets the invoice, whether they are on roll-up, and whether a card is on file. A few minutes of checking prevents the first invoice run from going to the wrong people.

What You Get on the Other Side

After the move, you can answer any customer question in seconds, see what is due at a glance, keep every driver working from the same information and bill without retyping. SepticBossPro offers a 14-day free trial with no credit card required, so you can load a handful of accounts and test it on a real week first. Most of the effort is front-loaded. Once the data is clean and the habits are set, the system mostly runs on its own.
